WMS implementation checklist: prepare your South African warehouse for rollout

Prepare warehouse data, roles, opening stock, integration tests, pilot acceptance and support handover with a reusable WMS checklist.

A CLEAR STARTING POINT

What should you know first?

Prepare the people, data and operating rules before switching warehouse work to a WMS. A controlled pilot and reconciled opening count provide clearer acceptance evidence than a date on a launch calendar. This checklist is an editorial planning resource, not a promise of a fixed implementation duration.

Use the resources

Assign the warehouse decisions

Name the person who approves item data, the person who signs off the opening balance and the person who owns each integration. Agree who can change warehouse locations, stock statuses and picking rules. Keep those responsibilities visible during onboarding.

Include shift representatives in review sessions. A receiving supervisor may identify exceptions that a project sponsor never sees. Record which decisions are required before configuration and which can wait until a later phase.

Clean the records and define the handovers

Prepare item codes, units of measure, locations and user roles before importing data. Remove duplicates through an approved mapping rather than deleting records casually. Retain a traceable copy of the source and document the import decisions.

Define what completes a receipt, pick, dispatch and return. Include short deliveries, damaged goods and cancellations. If two systems exchange stock information, agree how a failed message becomes a task someone can resolve.

Prove the pilot with acceptance scenarios

Use representative transactions, including a mismatch and a retry. Confirm access restrictions with actual user roles. For a multi-client warehouse, check that a client cannot view or allocate another client’s stock. Record evidence for each acceptance decision.

Reconcile opening stock before the cutover. Decide how pending receipts, open orders and in-transit goods are treated. Document a rollback or safe-stop plan so staff know how to avoid competing stock records if the launch is paused.

Agree the support handover

Keep operating notes, escalation contacts, recovery responsibilities and training materials available to staff. Agree support coverage against working shifts and define which incidents require immediate attention. New modules and configuration requests should have a clear change process.

When evaluating Pika WMS, request an onboarding plan covering your sites, devices, data and required modules. PCube reports an existing South African client base, but your own acceptance tests should determine whether the product is ready for your particular warehouse.
