THE STARTING POINT
A useful workshop system connects the booking, inspection, authorised work, parts allocation and collection record. Start with the job card and approval history. Keep unapproved recommendations distinct from work the customer has accepted.
Give the job card a reliable starting point
Capture the vehicle identifier, customer concern, booking time, adviser and relevant intake condition. Use fields your team actually needs. Link the card to the vehicle record without assuming the current contact is the owner. Record who supplied information and who may authorise work.
Agree workshop stages such as booked, inspected, awaiting approval, waiting for parts, in progress and ready for collection. Define what must be true before a card enters the next stage. A technician’s note and a customer-facing update are different records; staff should know which one they are editing.
Keep authorisation and parts visible
An additional-work request should show the proposed work, price and relevant findings before the customer responds. Retain the version they approved, their response and the date. If the quotation changes, make the revised scope explicit rather than assuming an earlier approval covers it.
Allocate parts to the specific job, and record returns or unused items. Decide whether stock is reserved when work is proposed or only after approval. Link supplier orders to the waiting job where useful. A dashboard can then distinguish a job awaiting a customer response from one held by a supplier, which calls for a different follow-up.
Make the website and reminders match the floor
The booking page should explain services, the intake process and whether a requested slot is confirmed immediately. Show actual workshop photos with permission. Answer what the customer needs to bring and how additional work is authorised. These details support useful searches such as workshop booking and service inspection without inventing a price for every vehicle.
Separate service communication from promotional messaging. Keep the business’s approved preferences and opt-out handling in the workflow. The Information Regulator provides guidance on direct marketing; ask your responsible adviser to confirm the appropriate process for your messages rather than treating every contact number as permission to market.

Prove the workflow with a small set of jobs
Pilot several ordinary services and at least one job with extra work, a rejected quote and a delayed part. Check that the adviser can explain the status without asking every technician. Confirm that the customer receipt, invoice handoff and vehicle history agree with the actual work.
Compare available workshop products before commissioning a custom build. Custom software is most useful when your approval rules, branches or integrations are not well served by an existing product. Request separate costs for migration, staff access, accounting connections, training and ongoing support; test exports before committing to the system.
PUT IT INTO PRACTICE
Your first-release checklist
- Define intake fields and who can authorise work.
- Agree job stages and the evidence required to change them.
- Record quotation versions, approvals and declined work.
- Allocate parts and log returns against the job.
- Pilot delays and rejected work, then test export and invoice handoff.
What to measure
Start with your own baseline. These are definitions for your team to track, rather than promised improvements or industry benchmarks.
- Approval waiting time
- Time between sending a complete request and receiving the customer’s decision.
- Parts-related holds
- Jobs waiting for parts, including the owner and next follow-up date.
- Card completeness
- Closed jobs with intake, approval, parts and handover records present.
Useful questions
Can we begin without replacing our accounting system?
Yes. The first scope can manage job cards and export approved billing information. Confirm the exact accounting product, plan and API access before including a live integration.
Should all technicians have the same permissions?
No. Define who can edit diagnosis, quote amounts, stock and customer approvals. Access should follow responsibility and the information each role needs.
Can we import old vehicle histories?
Usually the existing format and quality determine the effort. Test a small anonymised sample, map duplicate vehicle records and decide which historic details are reliable enough to migrate.
