Keep your draft. Come back when you need it.

Save a reusable JSON draft on your device. Restore it here to update a customer, item or document number. No automatic storage.

How the figures work. Unit prices round to cents; quantities to four decimal places. Discount is applied to each line before standard VAT; discount and VAT round per line. Deposits are a request on quotations and do not reduce an invoice’s amount due. This tool supports ordinary non-VAT invoices and standard-rated VAT documents, not credit notes, payment reconciliation or mixed VAT treatments.

For tax-invoice requirements and the current VAT rate, review SARS tax invoice guidance and SARS VAT information. The tool checks entered fields and number format; it does not verify your registration or the underlying supply.

A USEFUL DOCUMENT. A CLEAR NEXT STEP.

Give the customer
the details they need.

A service business should be able to prepare a clear offer or payment request without rebuilding a document every time. This free quote and invoice creator gives you editable line items, dates, discount, notes and a consistent layout in South African rand.

Choose the document that matches the task

A quotation presents the proposed work, price and validity date. An invoice requests payment for the relevant supply. An ordinary invoice with VAT off does not charge VAT; a standard-rated tax invoice shows the VAT separately. The creator does not approve a quote, record delivery or reconcile payments.

Bring your own business identity

Add your business and customer details, upload a small PNG, JPEG or WebP logo if you have one, then select a brand colour. The PDF uses those details. The example is visibly labelled on screen and in print; choose Start blank to prepare your own document.

Save a draft before leaving

Download the JSON draft to keep the editable information on your device. Import it on a later visit to change the customer, rates or document number. The tool does not create a cloud customer database, invoice register or backup, and it does not automatically save personal details.

Use VAT deliberately

SARS identifies the standard VAT rate as 15% for qualifying supplies by registered vendors. Its tax-invoice guidance explains the required parties, document details, descriptions, quantities, tax and total. This creator supports standard-rated VAT only and checks entered fields, not tax status or compliance with every circumstance.

Review SARS VAT information and SARS tax invoice requirements. Format checking cannot establish an active VAT registration. You control the issue date and numbering; use the correct details from your business records.

Connect the next handoff

When enquiries, quotations, accepted work and invoices become difficult to follow, a business management system can connect the records. For an internal check before sending a quote, try the job cash-flow planner.

BEFORE YOU CREATE

A few useful answers.

Can I create both quotations and invoices?

Yes. Choose Quotation or Invoice. VAT is off by default, so the invoice is an ordinary non-VAT invoice. Enabling standard VAT changes invoice output to Tax Invoice and requires supplier and customer details. Quotations remain marked “Not a tax invoice”.

How do I download a PDF?

Complete the required details and choose Print / save PDF. In your browser’s print dialog, choose Save as PDF. The print layout includes only your document, your business identity and any draft or example label. You can also download a JSON draft to restore and edit later.

Are my customer details or logo uploaded?

No. Details, line items and raster logos are processed in your browser. There is no account, email submission or automatic draft storage. Downloaded draft files include whatever customer and payment details you entered, so keep them somewhere private. Refreshing clears unsaved work.

When should I enable VAT?

Use standard 15% VAT only when your business is VAT registered and the listed supplies are standard-rated. Enter item prices excluding VAT; the document shows VAT separately and the total including VAT. This tool does not support zero-rated, exempt or mixed VAT documents, and it does not verify VAT registration.

Which details are checked for a tax invoice?

The tool checks supplier name, address and VAT-number format; customer name and address, plus a VAT number when you mark the customer as registered; document number and issue date; item descriptions, quantities and prices; and calculated value, VAT and total. It does not check registration status, the facts of the supply or whether the number is unique in your own invoice register. Review the current SARS requirements.

How are discount, VAT and deposit calculated?

Prices round to cents and quantities to four decimals. Discount is applied per line before VAT. Line discount and 15% VAT each round to cents, then the lines are summed. A quotation’s requested deposit is a percentage of its full total. Deposits do not reduce an invoice amount due; this tool does not record payments.
