THE STARTING POINT

Keep course information, intake availability and the application process consistent. Track an application through review, missing information, decision and enrolment. Publish only verified qualification and accreditation claims, with a clear distinction between an enquiry and an accepted place.

Make each course record specific

A useful course page includes the actual title, intended audience, dates, delivery format, fees and approved entry requirements. Explain what the learner receives on completion using the provider’s verified wording. Assign an owner to update closed intakes and changed timetables.

SAQA distinguishes registered qualifications from other learning offerings and points to the relevant quality councils for provider accreditation status. Do not assume that one accreditation applies to every course. Link to official verification information where appropriate and have the provider approve the exact status wording before publishing.

Separate interest from an application and an accepted place

An enquiry may need only a course reference and contact route. An application can require additional documents and review. Explain that distinction so a learner does not assume a submitted form guarantees admission. Use an application reference and display the next action clearly.

Define stages such as received, missing information, under review, decision issued and enrolled. Give each application an owner and a due next step. Request only the information required at that stage. Role-based document access and retention need particular care where learners are children or other sensitive information is involved.

Keep staff, learners and funders on the same version

Use approved templates for missing-document requests, acceptance information and timetable changes. Include the application or course reference. A change to an intake date should update the page, staff view and relevant communications rather than only one spreadsheet.

Where an employer or funder participates, define what that party can see. Do not grant general access to a learner’s records because someone pays a fee. The provider’s responsible advisers should approve permissions and communications. A portal can record the process, but cannot create an accreditation or replace academic decisions.

Pilot one intake from enquiry to enrolment

Test a complete application, missing documents, a declined application and a changed intake. Check that staff can reconcile accepted places against capacity. Use test records and confirm that restricted attachments are not publicly accessible.

Compare a supported learning or admissions product with custom software before deciding. Request separate costs for course editing, application users, document storage, payment handling, imports and support. The first release may solve intake enquiries and application follow-up while learning delivery remains in the existing platform.

PUT IT INTO PRACTICE

Your first-release checklist

  • Verify course, qualification and accreditation wording.
  • Publish current dates, fees, format and entry requirements.
  • Explain the difference between an enquiry, application and acceptance.
  • Assign application owners and missing-information tasks.
  • Test restricted documents, changed intakes and capacity reconciliation.

What to measure

Start with your own baseline. These are definitions for your team to track, rather than promised improvements or industry benchmarks.

Application completeness
Applications with the required information for the current review stage.
Decision waiting time
Time between a review-ready application and its recorded decision.
Intake information consistency
Whether course pages, staff schedules and applicant messages agree.

Useful questions

Can we describe every short course as accredited?

Only use claims the provider has verified for that specific offering. Qualification registration and provider accreditation are distinct questions; consult the relevant official bodies and approved provider records.

Does an application portal replace a learning management system?

Not necessarily. Admissions and learning delivery are different workflows. A portal can connect to a supported LMS, or focus on applications while learning remains in the existing system.

Can applicants upload documents?

Yes, with scoped file restrictions, authentication, roles and retention. Test whether another account can access the files, and use approved handling rules for learner information.
